Job Overview
Podar Education Network is looking for a Receptionist. This is an entry-level position suited for freshers with 0 to 1 year of work experience. As a Receptionist, you will play an integral role at the front desk, managing first impressions and providing a welcoming experience for guests and staff. The position requires proficiency in managing phone systems, customer relationships, and office tasks.
Qualifications and Skills
- Proficiency in Customer Relationship Management Software (Mandatory skill) to ensure smooth interaction with parents and visitors.
- Experience handling Multiline Phone Systems (Mandatory skill) for managing incoming and outgoing calls efficiently and professionally.
- Expertise in Front Desk Management (Mandatory skill) to maintain an organized and hospitable reception area.
- Capability in using Appointment Scheduling Software to manage and streamline the booking of meetings and appointments.
- Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint, for handling various administrative tasks efficiently.
- Strong skills in Email Communication to handle correspondence and inquiries promptly and professionally.
- Familiarity with Social Media Communication, aiding in engaging with parents and prospective clients via various online platforms.
- Competence in Office Equipment Handling, ensuring all machines are functional and maintenance needs are reported swiftly.
Roles and Responsibilities
- Greet and welcome guests, parents, and students as they arrive at the front desk, ensuring a positive and warm reception.
- Answer phones, direct calls, and take accurate messages, maintaining a high level of professionalism at all times.
- Manage incoming and outgoing correspondence, ensuring timely distribution of mail and packages.
- Assist in scheduling appointments, meetings, and maintaining calendar management for the administrative team.
- Coordinate with various departments to provide information and handle inquiries effectively.
- Support the administrative staff with document management, filing, and data entry tasks as required.
- Ensure the reception area remains tidy and presentable, with all necessary stationery and materials in place.
- Perform other administrative duties as needed to support the smooth operation of the office.
