Brief Job Overview
United States Pharmacopeia (USP) is seeking a Program Manager to lead and support the growth initiatives of the Materials program. In this role, you will oversee projects from initiation to launch, ensuring successful execution. Your key responsibilities will include collaborating with internal and external stakeholders to onboard materials production vendors, defining goals and milestones, managing project deliverables, delegating tasks, coordinating meetings, monitoring progress, improving processes, and ensuring program objectives and deadlines are achieved.

Program Coordination
- Define program goals and translate them into actionable plans.
- Communicate plans effectively across internal teams and external stakeholders through meetings, memos, emails, and project tracking tools.
- Prioritize tasks, delegate responsibilities, and ensure alignment across departments.
- Organize and facilitate key program initiation and update meetings, including materials-focused discussions with internal and external teams.
- Use meetings as a platform for two-way communication, fostering alignment among team members and functional departments.
- Take a leadership role in steering meetings, ensuring clear objectives, action items, and follow-ups.
- Work closely with scientists, quality, production & product management teams, and product development vendors to drive projects forward.
- Serve as a liaison between various departments, ensuring seamless execution of program initiatives.
- Identify and resolve project roadblocks to maintain momentum and meet critical deadlines.
- Oversee projects from conception to completion, ensuring quality, timeliness, and alignment with strategic objectives.
- Track project milestones, monitor risks, and implement solutions proactively.
- Continuously enhance processes to improve efficiency and project outcomes.
The Successful Candidate Will Have a Demonstrated Understanding Of Our Mission, Commitment To Excellence Through Inclusive And Equitable Behaviors And Practices, Ability To Quickly Build Credibility With Stakeholders, Along With The Following Competencies And Experience
- Bachelor’s or master’s degree in Organic Chemistry, Materials Science, Chemical Engineering, or a related field
- 7+ years of experience in project/program management, preferably in the life science, or chemical industry. PMP certification is preferred.
- Expertise in project management methodologies (e.g., Agile, Waterfall, Hybrid).
- Strong stakeholder management skills, working with scientists, production teams, and external partners.
- Excellent written and verbal communication skills to facilitate meetings, create reports, and drive team alignment.
- Familiarity with collaboration tools (e.g., SharePoint, Microsoft Teams)
- Proficiency in project management tools such as Microsoft Project, AchieveIt.
- Experience using data analysis tools such as Excel, Tableau, Power Bi and generating reports for performance tracking.
- Able to work flexible hours when needed in collaboration with global teams (work hours would be standard, however there could be a few calls beyond standard hours to collaborate with global sites).
- Must have managed projects in a fast-paced organization with cross-functional teams.
- Highly organized with strong attention to detail and ability to manage multiple projects simultaneously.
