About The Admissions Team

The Admissions team is responsible for managing the Application & Acceptance processes, Visa, and their relevant procedures to deliver a customer-focused service to our recruitment partners, universities, and institutions.

About The Role

The Visa Service Officer is responsible for managing/assessing visa caseloads and/or referrals for integrity checking, prioritizing cases for interviews and assessment, carrying out credibility interviews, and undertaking investigations for integrity checking while ensuring adherence to all Compliance and Visa requirements and service level agreements (SLAs)

Key Responsibilities

  • Should have specialized knowledge of the Visa Process for New Zealand in order to undertake the Check 3 review and assessment of visa applications and compliance checks to ensure that the student meets university as well as the Visa requirements.
  • Ensuring the Lodgment of the Visas in the stipulated time frame and responsible for maintaining accurate Visa files, electronic and other records.
  • Support the daily operations of the admission process to ensure accuracy and timeliness of processes and high level of customer service is maintained
  • Preparing reports, case notes, interview notes, correspondence, and other material in relation to visa matters.
  • Maintain all necessary systems and reports and provide regular updates to the internal teams from management as required.
  • Ensuring that any process issues are escalated to management immediately.
  • Carry out Visa Application checks along with the Admission Team is required to ensure that all documentation has been captured prior to submission in line with university and immigration requirements.
  • Oversee the completion of all relevant Visa forms, checklist, and supporting documents and ensure that they are processed in an expedited time frame and are error-free.
  • Ensure that all information and documentation provided by the counselor is accurate and complete.
  • Provide excellent customer service to all internal and all external clients with a focus on professional, accurate and timely responses
  • Complete Visa processes within the agreed service level agreements and escalate any delays to the manager
  • Create and manage spreadsheets ensuring critical reports are accurate.
  • Ensuring data integrity, confidentiality, and security is strictly adhered to at all times.
  • Ensure that work carried out by Adventus.io on behalf of the educational institution is compliant and within agreed service levels
  • Be up to date in regard to any changes or amendments to the prevailing student Visas laws / rules / regulations, changes in forms / formats and other procedures and keep the internal and external clients advised of such changes
  • Provide regular support, feedback, and guidance for the internal and external stakeholders.
  • Proactively collaborate with key internal stakeholders to manage any feedback or issues/incidents

Essential

Experience Required:

  • Work experience within an education industry / shared services environment.
  • Experience of using computerized systems/databases to achieve work goals and tasks.

Desirable

  • Proven experience within an international education related role, preferably within an International Admissions environment.
