Core Responsibilities And Tasks

  • Accurately process material and service GRNs in SAP S/4HANA for global projects.
  • Validate GRN requests against supporting documents (3 way match).
  • Complete knowledge of the entire Accounts Payable process.
  • Reconcile discrepancies between Purchase Orders, Delivery Notes, and Invoices and coordinate with stakeholders for resolution.
  • Work closely with German-speaking stakeholder to ensure proper documentation and issue resolution.
  • Ensure timely posting of GRNs to avoid delays in downstream financial processes.
  • Maintain meticulous records of GRN transactions for audit and compliance purposes.
  • Ensure adherence to company policies, industry standards, and regulatory requirements.
  • Collaborate with Procurement, Project Teams, Accounts Payable, and Finance teams to address GRN-related queries.
  • Participate in continuous improvement initiatives to enhance process efficiency and accuracy within the shared services framework.
  • Engage with German-speaking stakeholder to resolve GRN discrepancies, invoice issues, and payment queries.
  • Translate and review procurement-related documents from German to English and vice versa.
  • Technical Vocabulary Mastery – Strong grasp of procurement, supply chain, accounts payable, and financial terminology in both German and English.
  • FORMAL EDUCATION:
  • Bachelor’s degree in business, Finance, Accounting, Commerce, Supply Chain Management, or a related field.
  • Professional certifications in Supply Chain Management / SAP are an advantage
  • KNOWLEDGE & EXPERIENCE:
  • Minimum of 3-5 years of experience in GRN processing for Global projects
  • Fluency in German (B2 level or native) and English (written & spoken).
  • Hands-on experience with SAP (MM/FI modules preferred) for GRN processing.
  • Experience in procurement, supply chain, GRN processing, or accounts payable.
  • Strong understanding of invoice matching, purchase orders, and payment processing.
  • Prior experience in a shared services center or multinational company.
  • Excellent problem-solving skills to handle mismatches and discrepancies.
  • Proficiency in Microsoft Excel and data management tools.
  • Proven experience working in shared services operations.
  • Advanced skills in Excel for data analysis and reporting.
  • Ability to manage multiple priorities and work under tight deadlines.
  • LANGUAGE & COMMUNICATION SKILLS:
  • Fluency in German (B2 level) and English – Strong written and verbal communication skills.
  • Global Project & Stakeholder Management – Ability to interact effectively with German-speaking stakeholder and internal teams.
  • Review procurement-related materials to ensure clarity, accuracy, and consistency in both languages.
  • Translate procurement documents, purchase orders (POs), contracts, invoices, and policies from German to English and vice versa.
  • Ensure translations are precise, legally complaint, and contextually accurate.
  • Cross-Cultural Communication – Experience working in an international business environment with cross-functional and remote teams.
  • Navigate cultural and linguistic nuances when working with German and international stakeholders.
  • Draft, proofread, and send professional emails in German and English.
