About The Role
- Objective of the role:
- To provide an efficient and effective Property Management service, ensuring professional and proactive management approach.
- Provide a comprehensive Property Management service to ensure that all amenities are resourced and maintained to high-class industry standard.
- Ensure all services are performed as per Standard Service Specifications.
- Ensure preparation of Property management budgets and perform collection
- Manage the budget efficiently and yield cost savings where possible without compromising quality of service.
- Maintain site accommodation and services, through contractors and direct labour, in most cost effective way.
- Ensures occupancy of sites complies with statutory legislation.
- Ensure quality of staff, appraising and developing them to ensure maximum contribution.
- Proactive liaison with local and Delhi municipal authorities.
- Interviews, selects, hires, supervises and reviews qualified Property operation staff
- Advise Management Commercial to insure compliance with basic statutory requirements like licenses, permits etc.
- Ensures that all client deliverables are submitted in a timely manner.
- Acts as the liaison to local community public interest groups
- Oversees all vendor bidding
- Ensures that entire staff maintains a critical eye on all aspects of Property physical care
- Formulate strategic directions towards effective management of Property operation.
- Provides suitable business controls & administer policies/ processes / procedures.
- Formulates suitable budgeting controls
- Advise management on budgeting (Operational / revenue).
- Monitor SLA’s & KPI’s towards effective service delivery
- Reviews / Sanctions annual business plans.
- Ensure that company policies and procedures are consistently applied to required standards.
- Manage hard and soft copy data and e-mails and ensure all client files are updated.
- Deal with owners/tenants queries verbally and in written form.
- Manage on-site staff and associated relevant employment issues.
- Oversee budget, billing & ensure that timescales are met and review accounting information to ensure accuracy.
- Carry out regular site visits to ensure all buildings are in good order.
- Circulate information to residents concerning management issues.
- Ensure Health & Safety regulations are adhered to and that General and Fire risk assessment recommendations are implemented across the team.
- Review and agree all circular & client correspondence including newsletters ensuring that communication is regular
- Quickly resolves emergency maintenance issues.
- Facilitate learning and development for all the team members of the department.
- Exemplary relationship management, communication skills with the ability to network with project members, consultants, contractors, govt. authorities, statutory agencies with consummate ease.
- Streamlining processes and resources available for the project to achieve desired outputs within deadlines.
- Supervising and monitoring the performance level of the service staff for ensuring superior customer service and accomplishment of service targets.
- Coordinating activities for the identification of training needs of employees for upgrading their technical skills.
- AMC finalization & further co-ordination
- Preventive Maintenance formulation & implementation
- Develops/maintains effective Asset specific maintenance and safety procedure manuals and enforces compliance
- Ensure proper signoffs for attendance and all the required details for cost sheet submission.
- Ensure timely submission of client approve cost sheet to JLL office and follow for receive the invoice from JLL office
- Submitting the invoice to the client and follow up for payments.
- Ensure following of all requirements update by RO / HO / SME and ensure closures of all required reports.
- Ensure the site team attendance for various activities / training conducted by the regional team.
- A bachelor’s / master’s or equivalent degree with 5 – 10 years’ experience in Hospitality/Property management Industry
- Ability to train, assign, organize, prioritize, motivate, supervise and evaluate the work of assigned employees and contractors
- Ability to prepare and present accurate and reliable reports containing site updates, findings and recommendations
- Ability to comprehend and follow safety rules and regulations
- Must have good knowledge on computer’s application
- Ability to communicate well with others, both orally and in writing
- Ability to perform a wide variety of duties and responsibilities with accuracy and speed under the pressure of time-sensitive deadlines and emergency situations
- Strategic Thinking & Leadership
- Effective mix of strategic and tactical thought process
- Excellent grasp of language as well as content generation, marketing, management and generation
- Experience working in heavily matrixed environments and leading by influence
- Expertise in influencing business strategies and aligning communications with commercial objectives
