Job Summary


The Operations & Administration Officer/Manager is responsible for ensuring the smooth day-to-day functioning of the school by overseeing administrative processes, facilities management, vendor coordination, compliance, transport, security, procurement, and support services. The role supports academic and non-academic staff to maintain an efficient, safe, and productive learning environment.


Key Responsibilities


School Operations

  • Oversee daily school operations and administrative activities.
  • Ensure smooth functioning of classrooms, offices, laboratories, library, and common areas.
  • Coordinate with academic and support staff for operational requirements.
  • Develop and implement operational policies and procedures.


Administration Management


  • Manage administrative staff including reception, office assistants, and support personnel.
  • Maintain school records, documents, and administrative databases.
  • Supervise student admission documentation and administrative processes.
  • Handle correspondence, official communications, and reporting.


Facilities & Infrastructure

  • Monitor maintenance of school buildings, furniture, equipment, and utilities.
  • Coordinate preventive and corrective maintenance activities.
  • Ensure cleanliness, hygiene, and upkeep of the campus.
  • Manage housekeeping, security, and facility service providers.


Procurement & Vendor Management

  • Manage procurement of school supplies, stationery, equipment, and services.
  • Obtain quotations and negotiate with vendors.
  • Maintain inventory records and stock levels.
  • Monitor vendor performance and contract compliance.


Transport Management

  • Oversee school transport operations.
  • Coordinate bus routes, schedules, and vehicle maintenance.
  • Ensure compliance with student transportation safety requirements.
  • Address transport-related concerns from parents and staff.


Safety, Security & Compliance

  • Ensure implementation of school safety protocols and emergency procedures.
  • Coordinate fire safety, security systems, and disaster preparedness activities.
  • Ensure compliance with local education, labor, health, and safety regulations.
  • Conduct periodic audits and risk assessments.


Budget & Cost Control

  • Assist in preparing operational budgets.
  • Monitor administrative expenses and optimize costs.
  • Track vendor payments and service contracts.
  • Generate operational and administrative reports.


Event & Logistics Coordination

  • Support planning and execution of school events, examinations, meetings, and functions.
  • Arrange logistics, facilities, and vendor support for events.
  • Coordinate with stakeholders to ensure successful execution.


Required Qualifications


  • Bachelor's degree in Business Administration, Management, Education Administration, or related field.
  • Master's degree/MBA preferred.
  • Min 5–10 years of experience in administration, operations, or facility management, preferably in an educational institution.
