The Site Administration Lead is responsible for managing all site administration, facility management, accommodation, transportation, security, housekeeping, statutory compliance, and employee welfare activities for a large-scale Green Hydrogen project. The role ensures smooth day-to-day site operations and provides administrative support to project teams, contractors, and stakeholders throughout the project lifecycle.

Key ResponsibilitiesSite Administration & Operations

  • Establish and manage site administration systems, policies, and procedures.
  • Coordinate all administrative activities required for project execution.
  • Ensure efficient functioning of site offices, meeting rooms, and common facilities.
  • Maintain site records, documentation, and administrative reports.

Camp & Accommodation Management

  • Manage employee and contractor accommodations, including camp facilities.
  • Oversee room allocations, occupancy records, and welfare services.
  • Ensure accommodation facilities comply with company standards and local regulations.

Transportation & Logistics Support

  • Manage transportation arrangements for employees, visitors, and contractors.
  • Coordinate vehicle deployment, fleet utilization, and driver management.
  • Monitor transportation costs and service quality.

Facility Management

  • Oversee housekeeping, catering, maintenance, and utility services.
  • Ensure availability and proper functioning of office equipment and infrastructure.
  • Coordinate repairs and preventive maintenance activities.

Security Management

  • Coordinate with security service providers.
  • Implement site access control procedures.
  • Ensure compliance with project security requirements.
  • Monitor incident reporting and corrective actions.

Contractor & Vendor Coordination

  • Manage contracts related to administration services.
  • Evaluate vendor performance and service quality.
  • Process service requests, invoices, and purchase requisitions.

Compliance & Governance

  • Ensure compliance with labor laws, environmental regulations, and company policies.
  • Support audits and inspections related to site administration.
  • Maintain statutory records and licenses as required.

Employee Welfare & Engagement

  • Support employee welfare initiatives at the project site.
  • Address accommodation, transportation, and welfare-related concerns.
  • Coordinate medical, emergency, and recreational facilities.

Budget & Cost Control

  • Prepare and manage site administration budgets.
  • Monitor expenditures and identify cost optimization opportunities.
  • Ensure timely processing of invoices and vendor payments.

Stakeholder Coordination

  • Interface with project management, HR, HSE, procurement, and contractors.
  • Support visits by clients, government authorities, and senior management.
  • Facilitate communication between site teams and corporate functions.
