Duties And Responsibilities

As Executive Assistant to General Manager, I will assume full responsibility for the efficient operation in the following:

  • Operate office equipment such as fax & copy machines, phone systems, and use computers for spreadsheet, word processing, database management, and other applications.
  • Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.
  • Greet visitors and callers, handle their inquiries, and direct them to the appropriate persons
  • according to their needs.
  • Locate and attach appropriate files to incoming correspondence requiring replies.
  • Open, read, route and distribute incoming mail and other material, and prepare answers to routine letters.
  • Complete forms in accordance with company procedures.
  • Make copies of correspondence and other printed material.
  • Review work done by others to check for correct spelling and grammar, ensure that company

format policies are followed and recommend revisions.

  • Compose, type and distribute meeting notes, routine correspondence, and reports.
  • Set up and maintain paper and electronic filing systems for records, correspondence, and other material.
  • Keep confidentiality of all meetings and discussions that Executive Assistant is present.
  • Keep confidentiality of any notes, emails or correspondence that might be of sensitive issues.
  • Assist all EC members in administrative functions when required
  • Attend meetings and training as required by supervisors.
  • Upkeep Six Senses guidelines and standards of service and operation. My performance benchmarks are maintained and exceeded.
  • Strictly adhere to LQA standards and guest comments.
  • Perform any additional tasks given to me by management.

Qualifications

To execute the position of Executive Assistant to General Manager, I must have the required qualifications, technical skills and experience in a similar role in luxury hotels with proven results and includes the following:

  • Bachelor’s degree or equivalent and at least 1-year secretarial experience at a resort, hotel or similar setting.
  • Hospitality diploma/degree from a recognized hospitality school is preferred.
  • Fluent in English.
