Position: Asstt. Manager – Administration
Job Summary
We are seeking a proactive and highly organized Administration Executive to overview our operational facility at Ahmedabad. And will be responsible for overall factory and labour compliances including contract labour, facility upkeep, contractor’s management, payroll administration activities, employee logistics (transport and canteen), security management, procurement of office / factory supplies, coordination for employee engagement activities and assisting with statutory compliances. The ideal candidate must maintain strong communication between shop floor employees, functional leaders, corporate management & external stakeholders to drive workplace efficiency.
Key Responsibilities
Statutory Compliances:
- To ensure statutory compliance DISH, AMC, ESIC, EPF, GIDC, PASRA, FSSIA, Trade unions and maintain the records
- To ensure licenses renewal, timely return / challans & establishing close coordination with statutory authority for smooth operations & compliances
- Ensure end-to-end payroll processing (salary, incentives, deductions, reimbursements) is completed accurately and within defined timelines.
- Manage compliance with statutory requirements (PF, ESI, PT, TDS, labour laws) and prepare timely submissions and reports.
- Maintain employee payroll records, validate inputs, and perform reconciliation of payroll data, ensuring confidentiality and accuracy
- Oversee daily attendance tracking through systems/biometric tools, ensuring data accuracy and resolving discrepancies.
- Manage employee leave records (casual, sick, earned leave), ensure adherence to company policy, and process approvals in coordination with managers.
- Generate attendance and leave reports, analyze trends (absenteeism, late marks), and ensure alignment with internal policies and labour regulations.
- To manage the company's cars and employees shuttle services, keeping strict track of fuel expenses, route optimization & time management
- To oversee daily company canteen operations, ensure food quality standards, manage raw material purchases, enforce hygiene guidelines & establish day operation controls
- To ensure cross-checking employees shift attendance logs, employees entry / exit times, and bio-metric system registers
- To monitor the security team, oversee CCTV operations, manage visitor logs and authorize gate pass systems for staff, workers and materials
- To supervise the daily cleaning, hygiene and maintenance of the offices, shop floor and public zones
- To ensure the waste in-house movement & manage the waste as per company standard requirement
- To ensure landscaping management & maintained high level greenery in the facility
- To track routinely & re-order general office stationery, safety tools and pantry stocks
- To ensure 100% compliances management within the statutory frameworks & maintain the records
- To cross-check contractor gate logs and biometric data daily to prevent billing errors
- To verify, clear & process monthly invoices only after checking compliance documents and challans
- To coordinate Apprentice, FTE, Contracts employees hiring & ensure the management on board as per schedule
- To establish close coordinator with internal stakeholder for timing raising the manpower request & proceed for hiring
- To set up and manage structured systems to address worker complaints regarding shifts, wages, safety or workplace harassment.
Qualification: Master of Social Work (MSW) / Master of Human Resources / Science graduate.
Experience: 8 to 12 years of experience in general administration, specifically within a manufacturing plant or engineering industry
Core competency: Strong vendor negotiation, problem-solving under shopfloor pressure, time-management skills, welfare grievance handling
Technical skills: Proficient in Microsoft Office and experienced with biometric attendance software or statutory portals
Statutory Knowledge: Knowledge of relevant Health, Safety, Employees welfare regulations, Industrial regulation and ISO standards.
