Job Title: Sales Operations & Contracting Executive


Key Responsibilities

Sales Contracting

  • Prepare customer proposals, quotations, Statements of Work (SOW), Master Service Agreements (MSA), NDAs, Purchase Orders, Order Forms, and renewal documents.
  • Coordinate with Sales, Legal, Finance, and Delivery teams to complete contractual documentation.
  • Track contract status and ensure timely execution by all stakeholders.
  • Maintain contract repository and version control.
  • Review customer contracts for completeness before execution.


Vendor Registration & Compliance

  • Maintain required company documents for vendor onboarding.
  • Coordinate with Finance and Compliance teams for certifications and statutory documents.
  • Track renewals of vendor registrations and certifications.


ISO Compliance & Process Management

  • Coordinate and support ISO 9001, ISO 27001, and other management system audits.
  • Maintain ISO documentation, SOPs, process documents, policies, and records.
  • Coordinate internal and external audits and ensure timely closure of audit observations.
  • Work with process owners to ensure compliance with quality and information security standards.


AI-Enabled Productivity

  • Utilize AI tools such as ChatGPT, Claude, Gemini, Microsoft Copilot, or similar platforms to improve documentation quality, reporting, proposal creation, meeting summaries, and business process automation.
  • Identify opportunities to automate repetitive operational tasks using AI-powered tools.


Documentation Management

  • Maintain documentation repository.
  • Organize executed contracts and amendments.
  • Ensure document confidentiality and compliance.
  • Support audits by maintaining complete documentation.


Cross-functional Coordination

  • Work closely with:
  • Sales Team
  • Customer Success
  • Finance
  • Legal
  • Delivery Team
  • Procurement
  • Marketing (where required)

to ensure smooth execution of customer contracts and sales processes.

  • Strong Microsoft Excel (Pivot Tables, VLOOKUP/XLOOKUP, formulas)

Experience

  • 2–5 years in Sales Operations, Contract Management, Proposal Management, Commercial Operations, or a similar role.
  • Experience in IT Services, SaaS, Software Products, or Technology companies is preferred.
