Role Definition
The Logistics Manager is accountable for supervising and executing daily logistics operations to ensure timely, safe, and compliant pickup and delivery of diagnostic samples across assigned zones.
The role involves managing in-house riders, EV drivers, and third-party logistics (3PL) providers while adhering strictly to SOPs, biosafety norms, route plans, and cost-efficiency guidelines.
Key Deliverables
- On-time delivery of samples within shift and route-wise TAT
- Adherence to logistics SOPs (biosafety, packaging, scanning)
- Timely roster and shift execution with minimal deviation
- Zero sample damage, leakage, or misplacement incidents
- Rider-wise performance and vehicle compliance reporting
- Coordination and reporting on 3PL daily execution with exception handling
Route & Shift Execution
- Prepare and approve daily/weekly rider rosters for all zones. Assign and brief all delivery executives on route plans every morning. Ensure coverage for throughout day pickups as per the defined plan.
- Real-time coordination with riders for delays, rerouting, or missed pickups. Maintain standby resource pool for emergencies or rider absenteeism.
- Review route-wise pickup/drop sequencing for mileage and TAT optimization.
- Verify daily rider check-in and checkout compliance via the Logistics App. Conduct daily tracking of rider route plan adherence. Intervene in real-time for missed pickups or delayed deliveries.
- Monitor end-to-end sample movement from pickup (POC/Branch/SIS) to receipt at Laboratory.
- Review scanning and handover logs at each critical checkpoint. Ensure zero deviations from the cold chain and biosafety SOPs
- Submit daily summary of route execution, rider delays, route deviations, and exceptions
- Perform Daily readiness checks for vehicle hygiene, ID card, uniform, and app login.
- Set and monitor KPIs: punctuality, delivery TAT, sample damage, customer behavior. Conduct monthly rider reviews and identify training needs.
- Reward top performers and implement PIP for non-performers.
- Supervise EV vehicle condition, servicing schedules, and fuel efficiency. Maintain vehicle logbooks and ensure 100% registration, insurance, and fitness check.
- Replace/repair vehicles to prevent downtime during peak hours.
- Identify manpower needs based on load expansion. Collaborate with HR for recruitment, onboarding, and attrition tracking.
- Maintain a pool of trained backup riders in high-volume cities.
- Conduct daily audits for sample packaging, triple-layer protocols, icepack usage. Ensure rider-level adherence to SOPs on sample packaging, handling, cold chain, etc.
- Random audits at branches and in-transit to check biosafety protocol adherence.
- Track and ensure spill kits are present in each vehicle. Prepare documentation for NABL audits related to logistics workflows.
- Monitor delay reporting and escalate to Head in case of route failure or incident.
- Receive trip sheet and rider attendance from vendors daily. Coordinate with 3PL supervisors in case of rider absenteeism or delays.
- Audit 3PL compliance with sample SOP and resolve complaints with vendors.
- Verify rider/3PL trip logs, scanning data, and shift compliance from the logistics App.Verify 3PL invoices against App logs, delivery sheets, and shift logs.
- Ensure 100% scanning at pickup, transit, and delivery.
- Monitor app dashboards for route deviation or unscanned samples. Use historical data to recalibrate routes, reduce idle time, and cut mileage. Reduce cost per km through better routing, fuel monitoring, and shift optimization.
- Maintain exception log for missed scans, delayed deliveries, or system downtimes.
- Share validated reimbursement reports with the Finance team on a bi-weekly/monthly basis
- Build and maintain strong relationships with Branches, Collection Centers, Hospital Partners, and Key Accounts to ensure seamless logistics support.
- Act as the single point of contact for logistics-related escalations from key customers and ensure timely resolution.
- Conduct regular account reviews to understand service gaps, TAT concerns, and improvement opportunities.
- Coordinate with Sales, Operations, and Customer Support teams to ensure logistics commitments are met for all strategic accounts.
- Monitor customer feedback and CSAT scores, prepare action plans for recurring issues, and drive service excellence.
- Support onboarding of new accounts by planning logistics routes, rider allocation, SOP implementation, and operational readiness.
- Ensure smooth day-to-day logistics operations across all assigned zones with optimum resource utilization.
- Monitor daily operational KPIs including TAT, productivity, route efficiency, rider utilization, and service levels.
- Coordinate with Laboratory, Branch, Customer Support, and other internal stakeholders to ensure uninterrupted operations.
- Analyze operational data to identify bottlenecks, implement corrective actions, and drive continuous process improvements.
- Ensure compliance with organizational policies, statutory requirements, quality standards, and audit guidelines across logistics operations.
- Prepare daily, weekly, and monthly MIS reports highlighting operational performance, challenges, action plans, and improvement initiatives.
