Accugile seeks an Office Coordinator to support the growing firm in a variety of capacities. The position will largely be divided into executive support for the firm’s managing director, office management and cultivation of Accugile’s vibrant company culture.
Responsibilities
- Provide administrative assistance to founders and leadership team
- Will handle phone coverage, greeting guests and clients, scheduling internal meetings, office maintenance, and managing vendor communication and relationships.
- Assist with research projects as needed for clients and new business opportunities
- Manage the firm’s vendors and subscriptions
- Purchase office and break room supplies, monitors stock and manage budget
- Open, sort, and distribute incoming correspondence – hard copy and digital.
- Read and analyze incoming emails, memos, submissions and reports, determine their significance, and take action as appropriate.
- Collaborate with people team and assist with day to day operations
- Plan and coordinate office events, happy hours and other functions
- Coordinate hiring efforts at all levels
- Execute onboarding for new employees
- Assist in discovering potential partners and vetting inbound leads
- 2 + years’ experience in office environment and or administration
- You’re data driven and highly organized, but also a people person
- A passion for internet and social media marketing is preferred
- Superior written and verbal communication skills
- Strong organizational and time management skills
- Able to maintain confidential information
- Master of multi-tasking and able to manage multiple projects at once
- Managing document control throughout the project duration: update drawing list and any other project updates.
- You’re more than a list-taker, “check things off a list”, type of person.
- Can assess and process how to do things strategically, effectively, efficiently, and cost-consciously.
- Positive and friendly persona
- Ability to recognize internal and external customer needs.
