About the Role
We are seeking a highly experienced, professional, and discreet Secretary to the CEO to provide comprehensive administrative and executive support. This role requires exceptional organizational skills, sound judgment, and the ability to manage confidential information while ensuring the CEO's office operates efficiently.
Key Responsibilities
- Manage the CEO's calendar, meetings, appointments, and daily schedule.
- Coordinate domestic and international travel, accommodation, visas, and detailed itineraries.
- Act as the primary point of contact between the CEO and internal/external stakeholders.
- Screen calls, emails, and correspondence, prioritizing matters requiring the CEO's attention.
- Prepare presentations, reports, meeting agendas, minutes, and other executive documentation.
- Track key business priorities and follow up with stakeholders on action items.
- Coordinate leadership meetings, Board meetings, investor meetings, and business events.
- Maintain confidential records, contracts, and sensitive business documents.
- Handle expense reports, reimbursements, and administrative tasks for the CEO.
- Liaise with cross-functional teams to ensure timely execution of business priorities.
- Anticipate the CEO's needs and proactively resolve scheduling and operational challenges.
- Support special projects and strategic initiatives as assigned by the CEO.
Required Skills
- 10–15+ years of experience supporting a CEO, Founder, Managing Director, or other C-level executive.
- Exceptional calendar management and executive coordination skills.
- Excellent verbal and written communication.
- Strong stakeholder management and interpersonal skills.
- High level of professionalism, integrity, and confidentiality.
- Excellent organizational and multitasking abilities.
- Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Ability to work under pressure and manage multiple priorities effectively.
- Strong attention to detail and problem-solving mindset.
Preferred Qualifications
- Bachelor’s degree in business administration, Commerce, or a related discipline.
- Experience working with Founders, CEOs, or senior leadership in startups, fintech, technology, or financial services.
- Exposure to Board governance, investor relations, or executive office management is an added advantage.
