We are seeking a proactive and highly organized Executive Assistant to support the leadership team at our CA firm. The ideal candidate will bridge the gap between executives, clients, and internal staff, ensuring smooth day-to-day operations and maintaining absolute discretion with sensitive financial data. Key Responsibilities
- Executive Support & Calendar Management
- Manage and optimize complex calendars for senior partners/founders, resolving scheduling conflicts and prioritizing important meetings.
- Act as the primary gatekeeper for incoming calls, emails, and correspondence, routing them to the appropriate department.
- Coordinate meetings, audits, and video conferences, ensuring all necessary files and documents are prepared in advance. [1, 2, 3, 4, 5]
- Client Relationship & Operations Management
- Serve as the first point of contact for clients, handling routine queries and scheduling consultations.
- Track deliverable deadlines (e.g., Income Tax Returns, GST filings, ROC compliances) and send polite follow-ups to clients for pending documents.
- Maintain and update client databases and compliance trackers. [1, 2, 3, 4]
- Administrative & Compliance Coordination
- Prepare, format, and proofread correspondence, reports, presentations, and financial proposals.
- Organize and maintain secure physical and digital filing systems, strictly adhering to data confidentiality standards.
- Assist in managing routine office supplies, vendor communication, and general administrative upkeep. [1, 2, 3, 4, 5]
- Financial & Expense Administration [1]
- Track office and executive travel arrangements and accommodations.
- Process and reconcile expense reports, invoices, and basic firm bookkeeping tasks. [1, 2, 3, 4]
- Education: Bachelor's degree (B.Com preferred). Partially qualified CAs, CA Inter students, or those with relevant finance administration experience are highly desired.
- Experience: 2-5 years of proven experience in an Executive Assistant or administrative role, ideally within a CA firm, legal practice, or financial consulting firm. [1, 2, 3]
- Software Proficiency: Advanced working knowledge of MS Office (especially Excel and PowerPoint) and Google Workspace. Familiarity with accounting/tax software (e.g., Tally Prime, Zoho Books) is a major plus. [1, 2]
- Communication: Exceptional verbal and written communication skills in English (and local languages, as required). Professional phone and email etiquette. [1]
