About The Role
The Front Office Operator serves as the first point of contact for visitors, clients, and employees, ensuring a professional, welcoming, and efficient front office experience. This role is responsible for managing reception operations, handling incoming calls, coordinating appointments, supporting administrative functions, and maintaining smooth day-to-day office operations. You will play a key role in upholding the organisation's professional image by delivering exceptional customer service and coordinating effectively with internal departments.
Visitor Management
- Welcome all visitors with a friendly, professional, and courteous demeanour.
- Create a positive first impression of the organisation through exceptional customer service.
- Issue visitor badges and accurately record visitor details in the electronic visitor management system.
- Notify the host or relevant department upon a visitor's arrival and follow the appropriate escalation procedures if the host is unavailable.
- Maintain a clean, organised, and presentable reception area at all times.
- Answer and route incoming telephone calls promptly and professionally.
- Provide accurate information to employees and visitors regarding office facilities, services,
- Coordinate with the Facilities team and Business Units to support meetings, events, and operational requirements.
- Assist the HR team with new joiner formalities and onboarding coordination.
- Book meeting rooms and restricted conference rooms in accordance with employee requests.
- Arrange taxis and executive transportation for local and international employees as required.
- Receive deliveries and distribute them to the appropriate departments.
- Issue SEZ and in-house identification cards to new joiners.
- Manage SEZ entry clearance and logistical arrangements for international visitors.
- Process vendor invoices for payment and maintain accurate supporting documentation.
- Assist with the collection and preparation of monthly reports and Key Performance Indicators (KPIs). Event Management
- Coordinate with the Facilities team and Business Units to support internal and external events.
- Arrange venues, manage guest logistics, and coordinate required resources.
- Ensure events are delivered smoothly with a high level of attention to detail and service excellence.
- Facilitate SEZ clearance for international visitors in compliance with applicable regulatory requirements.
- Coordinate office bookings, travel logistics, and hospitality arrangements for visiting employees and guests.
- Act as the primary point of contact for international visitors throughout their visit.
- Deliver a consistently high standard of customer service in all interactions.
- Ensure all enquiries are managed within agreed service levels and response times.
- Maintain a professional appearance and adhere to the company’s dress code policy.
- Represent the organisation professionally and respond to ad hoc client and employee requests with a proactive, solution-focused approach.
- Ensure the visitor management system is maintained accurately and kept up to date.
- Support ISO 14001 compliance by participating in environmental initiatives and maintaining required documentation.
- Maintain accurate records and assist in preparing Monthly Management System (MIS) reports.
- Build and maintain positive working relationships with colleagues, vendors, clients, and external stakeholders.
- Promote a collaborative, supportive, and team-oriented working environment.
- Take ownership of assigned responsibilities while demonstrating a high level of accuracy and attention to detail.
