The Principal Office Services Administrator provides solutions to problems that may be atypical or infrequently occurring based on practice and existing precedents or procedures. Responsibilities
Key Tasks and Responsibilities:
- Support the reception area and assist in day-to-day activities related to all office services aspects
- Answer general phone inquiries using a professional and courteous manner
- Direct phone inquiries to the appropriate staff members
- Reply to general information requests with accurate information
- Act as a backup for the receptionist
- Execute all areas of office administrative support activities to ensure efficiency and effectiveness across the organization
- Manage procurement activities such as vendor management, selection process, and physical inventory for office supplies
- Administer scheduled upkeep of office facilities on-site to ensure optimum and satisfactory functionality at all times
- Code and file material according to the established procedures
- Back up electronic files using proper procedures
- Overall coordination and maintenance of office equipment and supplies
- Assist in the preparation of reports, presentations, and other documents as needed
- Assist with event planning, logistics, and coordination
- Monitor and maintain office inventory levels, placing orders as necessary
- Expand and improve procedures and policies for efficient office management
- Conduct training for office staff on administrative procedures and protocols
- Assist in the development and implementation of new administrative systems and processes
- Collaborate with other departments to ensure a smooth operation of office services
Essential Qualifications and Education:
- Diploma/degree is preferred
- 3 - 5 years of working experience
- Proficient in Microsoft Office
- Basic/intermediate skills in Excel, multitasking, customer service attitude, solid written and verbal communication skills, resourceful and proactive
