Purpose of the Role
The role is responsible for managing end-to-end FMC filing activities for the North America region by validating customer and sales requests, ensuring compliance with FMC regulations and internal SOPs, processing contract filings, resolving automation failures, and collaborating with cross-functional stakeholders to deliver accurate, timely, and compliant filing services.
You will be Responsible for:
- Managing end-to-end FMC filing requests received from Customers, Sales, and Global Service Centre (GSC) teams for customer contracts.
- Validating customer-signed agreements, approvals, contract details, amendment numbers, signatures, dates, Letters of Authority (LOA), and regulatory requirements in accordance with established SOPs and FMC compliance standards.
- Reviewing filing requests for completeness and compliance, rejecting inaccurate or non-compliant submissions, and providing clear guidance to stakeholders on corrective actions.
- Executing FMC contract filings through automation platforms while maintaining accurate filing databases, records, and document repositories.
- Investigating automation failures, identifying root causes, and performing reprocessing activities to resolve system, database, network, and application-related issues.
- Collaborating with Sales, Contract Management, Legal, Pricing, Customer Service, and other cross-functional teams to ensure timely filings, regulatory compliance, and an exceptional customer experience.
- Maintaining high standards of accuracy, compliance, and process governance while adhering to internal controls, regulatory requirements, and standard operating procedures.
- Leveraging reporting tools and workflow platforms to analyse data, monitor filing activities, improve operational efficiency, and support continuous process improvements.
- Bachelor's degree in Business Administration, Commerce, Supply Chain, Logistics, or a related discipline.
- Experience in compliance operations, contract administration, documentation, logistics, shipping, or shared services is preferred.
- Strong written and verbal communication skills with the ability to effectively engage with Customers, Sales, Legal, and Global Service Centre (GSC) teams.
- Proficiency in Microsoft Excel, including Pivot Tables, VLOOKUP/XLOOKUP, data analysis, reporting, and managing large datasets.
- Working knowledge of SAP BI, AFLS, SharePoint, workflow automation platforms, or similar enterprise systems.
- Excellent attention to detail with a strong focus on accuracy, regulatory compliance, documentation, and process governance.
- Ability to analyse issues, troubleshoot automation failures, identify root causes, and recommend appropriate corrective actions while managing multiple priorities in a deadline-driven environment.
