Job Description – IT Hardware & Support Executive
The IT Hardware & Support Executive will be responsible for ensuring the smooth functioning, maintenance, troubleshooting, deployment and lifecycle management of the organization’s IT hardware and end-user devices. The role will provide day-to-day technical support to employees, maintain IT asset records, coordinate repairs and warranties, and ensure timely availability of IT equipment.
The position will act as the first point of contact for hardware-related issues and will coordinate with internal teams and external vendors for timely resolution.
Key Responsibilities
- Hardware Installation & Troubleshooting
- Install, configure and maintain desktops, laptops, monitors, printers, scanners, UPS, projectors and other IT peripherals.
- Diagnose and resolve hardware issues related to desktops, laptops, RAM, hard disks/SSDs, keyboards, mice, displays, printers and other peripherals.
- Perform hardware replacement, upgrades, preventive maintenance and basic repair activities.
- Troubleshoot operating system and basic application-related issues.
- Prepare and configure laptops/desktops for new employees and replacements.
- Ensure systems are properly configured before handover to users.
- IT Asset Management
- Maintain an updated IT Hardware Asset Register covering laptops, desktops, monitors, printers, networking equipment and other IT assets.
- Record asset allocation, movement, transfer, repair, replacement, return and disposal.
- Ensure every IT asset is properly tagged and assigned to the concerned employee/location.
- Conduct periodic physical verification of IT assets and reconcile discrepancies.
- Maintain records of serial numbers, asset IDs, warranty details, purchase dates and current users.
- Support the complete hardware lifecycle from procurement and deployment to recovery and disposal.
- Employee IT Support
- Provide first-level technical support to employees for hardware and connectivity issues.
- Attend IT complaints/tickets and ensure timely resolution within defined timelines.
- Provide on-site support for desktops, laptops, printers, Wi-Fi and other IT equipment.
- Guide employees on basic troubleshooting and appropriate use of IT equipment.
- Maintain proper records of complaints, resolutions and recurring issues.
- Networking & Connectivity Support
- Troubleshoot basic LAN, Wi-Fi, Internet and connectivity-related issues.
- Support installation and maintenance of network cables, switches, routers and access points.
- Perform basic network diagnostics such as IP configuration, ping, connectivity and device checks.
- Coordinate with the IT Manager/network vendor for complex network-related issues.
- Ensure network connectivity is available and functional at all required workstations.
- Printer & Peripheral Management
- Install and configure printers, scanners and other peripheral devices.
- Troubleshoot printing, scanning and connectivity issues.
- Maintain printer-wise records and coordinate with vendors for AMC/service requirements.
- Monitor consumables such as cartridges, toners and other IT-related consumables, wherever assigned.
- New Joiner & Employee Exit Support
- Prepare IT equipment for new employees as per approved requirements.
- Ensure timely allocation of laptops/desktops and other required equipment.
- Collect and verify IT assets during employee separation/exit.
- Update asset records immediately after allocation, transfer or recovery.
- Report missing, damaged or unreturned IT assets to the IT Manager/HR as per company process.
- Repair, Warranty & Vendor Coordination
- Coordinate with authorized vendors/service providers for hardware repairs and replacements.
- Track warranty status and AMC contracts for IT equipment.
- Maintain records of devices sent for repair and expected return dates.
- Verify repaired/replaced equipment before handing it back to the user.
- Escalate recurring hardware failures and recommend replacement where required.
- IT Security & Preventive Maintenance
- Ensure systems have approved antivirus/security tools and required updates.
- Support regular Windows/OS updates, security patches and preventive maintenance.
- Ensure company IT assets are handled in accordance with IT security policies.
- Report suspected unauthorized hardware changes, malware incidents or security concerns to the IT Manager.
- Ensure proper data protection procedures are followed before repair, replacement or disposal of devices.
- Documentation & Reporting
- Maintain IT hardware inventory and service/repair records.
- Prepare periodic reports on:
- IT assets issued and available
- Damaged/non-functional equipment
- Assets under repair
- Warranty/AMC status
- Hardware purchases and replacements
- Pending IT complaints
- Maintain IT-related SOPs, checklists and technical documentation.
- Support periodic IT audits and physical asset verification.
- Strong knowledge of computer hardware troubleshooting and maintenance.
- Good understanding of Windows operating systems.
- Knowledge of desktop/laptop assembly and component replacement.
- Basic knowledge of LAN, WAN, TCP/IP, Wi-Fi, routers and switches.
- Knowledge of printers, scanners, UPS and other IT peripherals.
- Familiarity with IT asset inventory and lifecycle management.
- Basic understanding of antivirus, endpoint security and software updates.
- Good knowledge of MS Office / Microsoft 365 environment.
- Strong troubleshooting and problem-solving skills.
- Good vendor coordination and communication skills.
- Working knowledge of Excel for maintaining asset registers and reports.
- Diploma / Graduate in Computer Science, IT, Hardware & Networking, Electronics or a related discipline.
- Certifications such as CompTIA A+, CCNA or equivalent will be an added advantage.
2–3 years of relevant experience in IT hardware support, desktop support, IT infrastructure support or hardware/networking.
