About The Role
We are looking for a motivated and detail-oriented Facility Management / Work Order Coordinator to support the day-to-day facility management operations of our US-based clients from our offshore India location.
The individual will be responsible for managing work orders, repair and maintenance requests, vendor coordination, follow-ups, and service completion tracking through ServiceChannel. The role requires regular coordination with clients, vendors, contractors, and internal teams to ensure facility issues are addressed within the required timelines and service-level expectations.
Key Responsibilities
- Manage and monitor facility-related work orders through ServiceChannel.
- Review incoming work orders and ensure they are properly assigned to the appropriate vendor or service provider.
- Coordinate and follow up with vendors and contractors for repair and maintenance activities.
- Track work order status from initiation through completion and ensure timely closure.
- Review vendor updates, estimates, invoices, completion notes, and supporting documentation.
- Follow up on delayed, overdue, or unresolved work orders and escalate issues when required.
- Communicate with US-based clients, property teams, vendors, and internal stakeholders regarding work order status and resolutions.
- Monitor preventive and reactive maintenance activities and ensure they are completed within established timelines.
- Validate work order information, including scope of work, location details, service dates, costs, and completion status.
- Maintain accurate records and update ServiceChannel with the latest work order information.
- Identify recurring facility issues and escalate trends or operational concerns to management.
- Prepare regular status reports and operational updates for clients and internal leadership.
- Ensure compliance with client-specific processes, service-level agreements (SLAs), and operational procedures.
- Assist with additional facility management and property operations activities as required.
- Bachelor's degree or equivalent qualification preferred.
- 2–5 years of experience in Facility Management, Property Management, Work Order Management, or related operations.
- Experience supporting US-based facilities or commercial properties is highly preferred.
- Hands-on experience with ServiceChannel is strongly preferred.
- Good understanding of facility repair and maintenance processes.
- Experience coordinating with vendors, contractors, technicians, and service providers.
- Strong follow-up and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong attention to detail and ability to manage multiple work orders simultaneously.
- Good working knowledge of Microsoft Excel, Outlook, and other Microsoft Office applications.
- Ability to work independently and effectively with teams located in different time zones.
- ServiceChannel experience.
- Knowledge of commercial real estate and facility management operations.
- Experience with HVAC, plumbing, electrical, general maintenance, janitorial, landscaping, and other facility services.
- Understanding of work order lifecycle and SLA management.
- Experience handling vendor estimates, invoices, and service documentation.
- Previous experience working with US clients or US-based facility management teams.
