IT PROD / Software Asset Manager / Coordinator

Position Purpose:
The SAM Associate will report to the Software Asset Management Lead and will be primarily responsible for the monitoring and governance of the software licenses. The role will maintain accurate license inventories, conduct usage reconciliations, support internal audits, and drive cost‑optimization initiatives across the organization. The Analyst must be able to translate business requirements into actionable SAM processes and technical solutions.

Direct Responsibilities
Strategy & Governance
• Define and maintain the SAM policy, processes, and standards in line with corporate governance and relevant licensing agreements.
• Develop a roadmap for software asset optimization and cost‑reduction initiatives.
• Ensure compliance with vendor contracts, audit requirements, and internal controls.
License Management
• Maintain an accurate inventory of all software licenses, entitlements, and usage rights.
• Reconcile procurement records, vendor contracts, and actual usage data.
• Manage software license renewals, extensions, and terminations.
• Generate regular dashboards on license compliance, utilization, and cost savings.
Cost Optimization
• Identify opportunities for license consolidation, volume discounts, and alternative (e.g., open‑source) solutions.
• Track and report on software spend, savings, and ROI.
• Recommend budgeting adjustments based on usage trends.
Stakeholder Collaboration
• Work closely with IT Operations, Security, Procurement, Finance, and Business Units to align software usage with business needs.
• Serve as the point of contact for software request and licensing queries.
Technical & Behavioral Competencies
Technical:
• Advanced Excel (Power Query, Power Pivot)
• Experience with SAM tools – Snow Software, ServiceNow SAM, BMC, or similar
• Familiarity with Enterprise CMDB (ServiceNow, BMC)
• Understanding of software licensing models (per‑core, per‑user, concurrent, subscription, SaaS)

Specific Qualifications:
• Minimum 5 years of experience in Software Asset Management, IT Asset Management, IT Procurement, or a closely related discipline within a large, regulated enterprise (banking, financial services, or technology).
• Prior experience in similar domain.
