Job Description

We are looking for a proactive, highly organized and commercially aware Executive Assistant to work closely with the Director across executive support, business networking, communication, conferences, events and administration.

Experience with a business chamber, industry association or networking organization - such as FICCI, CII, IACC, TiE, EO, Round Table or similar - will be preferred.

The role involves interaction with business leaders, CXOs, government officials and other senior stakeholders.

Key Responsibilities

Executive Office

  • Manage calendar, meetings and appointments
  • Prepare meeting briefs and track action points
  • Ensure timely follow-ups and closure of commitments
  • Coordinate travel and logistics
  • Handle confidential information with discretion

Business Networking & Community

  • Maintain relationships with members and stakeholders
  • Support community engagement and membership growth
  • Manage contact and member databases
  • Coordinate with chambers, associations and business networks
  • Support meetings and interactions with senior stakeholders

Events

  • Coordinate meetings, networking events and conferences
  • Manage invitations, guests, vendors and logistics
  • Support VIP and stakeholder coordination
  • Handle post-event follow-ups

Emails & Communication

  • Manage and prioritize the Director's emails
  • Draft professional correspondence
  • Track important replies and commitments
  • Assist with LinkedIn and professional social media communication

Bills & Administration

  • Receive and track bills and invoices
  • Coordinate approvals and payments with Accounts
  • Maintain expense and payment trackers
  • Coordinate with vendors and service providers

Research & MIS

  • Prepare basic research and briefing notes for meetings
  • Maintain trackers and simple MIS
  • Follow up with internal teams and external stakeholders
  • Highlight pending matters requiring attention

AI & Technology

  • Use AI tools for research, drafting, summarization and productivity
  • Stay updated with tools that can improve the efficiency of the Director's Office

What We're Looking For

  • 3-7 years of relevant experience
  • Experience in community building, business networking, associations or chambers preferred
  • Excellent communication and written English
  • Strong organizational and follow-up skills
  • Comfortable interacting with senior professionals, CXOs and government officials
  • Good Excel, Google Sheets and MS Office skills
  • Basic understanding of bills, invoices and payments
  • Professional, presentable and trustworthy
  • Fast learner with strong willingness to adopt AI and new technology
  • High level of confidentiality and ownership
