Executive Assistant to the CEO

Arcot Group

Reports to: Sonny Arcot, Founder & CEO (directly)

Location: Mumbai — based primarily on-site, with travel between the Lower Parel and Vashi offices as required

Compensation: Rs. 50,000 – 70,000 per month

Employment type: Full-time

Works alongside: The senior Executive Assistant (Arcitech) and the CEO's AI operating co-pilot

Role purpose

Keep the CEO's long-range priorities on track. This role exists to anticipate, follow up, and close loops so that nothing assigned to it is dropped or has to be chased. It is the strategic-coordination seat for Arcot Group, working under the CEO's direction and supported by an AI operating co-pilot that assists with drafting, tracking, and verification.

Scope

  • Supports the Lead Executive Assistant across the CEO's calendar and owns the legwork on the long-range pipeline — maintaining the 30-day confirmed calendar, the 60-day provisional pipeline, the 90-day outlook, and the discussed-but-unscheduled list, in close coordination with the Lead EA.
  • Maintains continuity and records for the CEO's important external relationships — investors, board members, strategic partners, major clients, advisers, and senior candidates — under the CEO's direction.
  • Coordinates Arcot Group weekly MIS submissions, monthly performance-review completion, the weekly all-hands, and the CEO Relationship Manager.
  • Acts as formal backup to the Arcitech Executive Assistant, including complete written handover.

Key responsibilities

  • Long-range pipeline. Maintain and actively follow up the 30/60/90-day pipeline; protect priority dates and escalate scheduling blocks early.
  • Meeting preparation. Ahead of every strategic meeting, prepare the objective, relationship history, attendee context, prior commitments, open issues, and desired outcome so the Lead EA and CEO are fully briefed in good time.
  • Relationship records. Keep the CEO Relationship Manager current — cadence, last and next contact, overdue status, commitments made, introductions promised, key dates. Run a weekly due-soon and overdue review and propose next actions.
  • Compliance coordination. Track weekly MIS submissions (Google Sheets) and deliver the status to the CEO by Monday 12:00 PM IST. Run the performance-review reminder cycle to 100% completion in AG Brain by the 2nd. Coordinate and chase only — never complete managers' content.
  • Meetings. Produce the Arcot Group Wednesday all-hands (agenda, materials, notes, actions, follow-up) and support inputs for the monthly full-company meeting and Xcel Club.
  • Inbox support. Read and triage the CEO's inbox, prepare draft replies, and flag time-sensitive matters. Does not send from the CEO's inbox.
  • Documentation. Keep all trackers, notes, and handovers written and current so any task can be picked up without reconstructing the history.

What we are looking for

The attributes below matter more than polish. They are the core of the role:

  • Proactive. Drives assigned work to completion without being reminded. The CEO should never have to chase you for your own tasks.
  • Closes loops. Confirms completion, informs the right people, and updates the record — a task is not finished until it is closed and logged.
  • Accurate. Distinguishes clearly between done and in progress, and never reports something as complete when it is not. The CEO relies on your word to make decisions.
  • Persistent. Carries multi-week tasks through to a result rather than starting and stalling.
  • Self-driving. Keeps work moving when the CEO is travelling or slow to respond — advances everything that does not require his input and teed-up decisions with clear options.
  • Tool-fluent. Comfortable adopting tools and AI to work faster; sees the AI co-pilot as leverage.
  • Discreet. Absolute confidentiality with investor, board, financial, and personal information.

Requirements

  • 2–3 years' experience as an Executive Assistant or in senior administrative support, ideally to a founder or senior leader.
  • Fluent written and spoken English; precise, direct communication.
  • Proficient with Google Workspace (Sheets, Calendar, Keep) and comfortable learning AI-based tools.
  • Based in Mumbai and able to travel between the Lower Parel and Vashi offices.
  • Demonstrated reliability, follow-through, and accurate reporting in past roles.

Working hours and availability

Normal hours are 10:00 AM to 7:00 PM IST. Because the role coordinates with global contacts, availability outside those hours is occasionally required when an external party can only meet at another time. After- hours work is planned where possible and balanced with schedule flexibility.

How success is measured

Performance is reviewed monthly against clear result areas: the long-range pipeline is current and followed up; relationships have accurate records and next actions; MIS and performance-review coordination is on time with non-compliance escalated; the all-hands runs each week; and reporting is accurate and evidence-backed. A full scorecard is provided on joining.

Confidentiality

This role handles investor, board, financial, and personal information. Strict confidentiality and disciplined use of approved secure tools are conditions of the role.
